Details matters most

This section aims to explain how to properly send a sourcing request to sourcing agents. If followed properly, an email request would be enough to pinpoint what you are looking for, where it is that is needed, how you are going to get it and why you need the request.

Step One: Getting Started

Plan out on paper or anything to draft out What it is that you need help sourcing, Where it is that the product/service is needed, How you are going to get that product or service and of course Why do you need it?

These details are very crucial and often omited out in which creates a lot of issue to the sourcing agent as they do not have the needed information to help you!

Step Two: Execution

This is the second step. Get the draft of the details and make it either in a document or an email. Usually businesses have their own formatted document in which contains all the information above. The document will establish a common ground of understanding between all parties involved. So therefore have a written formatted document would be crucial and it makes things more professionally done. Also please note that it is best to go over the sourcing document again before sending it out to spot for any mistakes or unclear specifications.

Step Three: Completion

After sending out the document to the sourcing agent, it is best to make sure that the sourcing agent understands everything. Usually if I have any unclear or found any wrong information about the request then I will contact the client to make everything clear. At this stage, there may be back and forth but it really depends on how clear and precise the sourcing document is.

Example of a perfect Sourcing request in Email form

Dear [Project Zeta],

Today I would like to take the time to ask for your help sourcing a specific item for me.

The item that I need is 300gsm Japanese cotton T-shirt with a front side pocket of 5cm by 5 cm. Please see the attachment for our mock up of the T-shirt construction.

We are based in the UK and please note that our warehouse is at asdacwdicajsdocij Manchester. The amount that we are looking to order at first is 200 pieces, would that be okay for you?

For shipping we don’t mind you to arrange it by sea since it is not a rush item, however can you also provide a quotation for using faster delivery service like DHL?

As said we would like to have this T-shirt for our custom T-shirt design that we are going to launch at the end of November however do you also provide extra service that you can custom print any design on it?
